Vigilant Scheduling

Operating room resource planning and management is a complex process critical to achieving efficiency. The unique scheduling requirements of surgeons, nurses, anesthesiologists, and administrators must be carefully orchestrated to optimize operating room utilization. In addition, supplies must be allocated intelligently to ensure availability and yet minimize excess operating room inventory and waste.

Scheduling Capabilities

VPIMS provides systematic scheduling capabilities that support an intuitive hierarchy to balance all clinical needs:

  • Block management by surgeon, service, administrative, or first-come first-serve basis
  • Staff scheduling capabilities by room or by case
  • Setup time, procedure time, and clean-up time calculated from CPT standards or surgeon track record, assuring accurate case duration estimates
  • Automatic cross- checking of preference cards and case scheduling eliminates conflicts
  • Preoperative physician orders generated from a customized library or CPT codes

Preference Card Management

The system tracks resources throughout the perioperative process, automatically recording usage and location. Preference cards ensure that all resources are prepared for the surgical procedure and help manage just-in-time allocation of equipment and supplies. The preference cards are checked against reconciliation reports and reduce costly excess with suggestions in inventory changes. Thus, maintaining accurate preference cards achieves a reduction in both OR waste and inventory.

  • Provides preference cards by surgeon, procedure, and service
  • Kit processing reduces case costs, restocking time, and waste through standardization
  • Preference card management and suggested adjustments based on usage history
  • Automatically enforces care protocols
  • Performs conflict management and precedence
